Library Privacy Policy

In recognition of Quebec’s Act respecting the protection of personal information, please be advised that every member of the Dawson community has a borrower – or ‘patron’ – file saved within our Integrated Library System (Koha).

An active, individual patron file is necessary to allow registered students and current employees to borrow materials from the Library’s physical collections, so that we know who is in possession of them. An individual’s patron file contains the following personal information.

For students:
  • First and last name;
  • Date of birth;
  • Gender;
  • Home address;
  • Primary and secondary phone numbers;
  • Student ID number (as library “Card number”);
  • Dawson College email address;
  • Personal email address (if provided to the College);
  • Patron category (e.g., Student, Faculty, Staff, etc); and
  • Program of study.

For employees:
  • First and last name;
  • Employee ID number (as library “Card number”);
  • Dawson College email address; and
  • Patron category.

Circulation History & Privacy Settings

By default, the patron file also records an individual’s circulation history: a list of all items they have previously borrowed from the library. At any time, a patron may sign in to their account and modify their Privacy settings. These settings give patrons the option to delete their circulation history and to decide whether their borrowing history may be stored at all.

Notwithstanding the above, please note that the circulation module must maintain a record of any current items borrowed by a patron, for as long as the items remain checked out. These items will stay on the patron’s file until they are returned, or until any outstanding fines for late or lost items are paid in full.

The information in patrons’ files is accessible to members of the Library’s staff.

Expiration & Deletion of Accounts

Student patron accounts expire at the end of every semester, on the final day of the exam period defined for their program. Accounts are reactivated at the start of each new session, and remain active for as long as a student is registered for courses.

Employee accounts are automatically renewed at the start of each academic session, and remain active for as long as the person remains employed by the College. Should an employee leave the College, their patron account will expire no later than August 31st of the following year.

If a patron has no outstanding loans or fines, their file will be deleted from the library’s system within a maximum of one year following the expiration of their account.

Consent

If you consent to the Library’s collection and storage of your information under the terms defined above, no action is necessary on your part. If you do not consent, please let us know by completing the form below.

N.B. Access to the Library’s electronic collections is not affected by any of the above.

Withdrawal of Consent Form

By completing this form, you accept that the Library will delete your patron account and you will lose the option to borrow physical items from the Dawson College Library. This includes books, periodicals, DVDs, laptops, voice recorders, headphones, cellphone chargers, and calculators.
